Enrollment/Degree Verification

Q. How do I get a certification of enrollment?
A. Please print the request for certification of enrollment form and send to us by either fax or mail.  You may also request one by coming to our office. Please allow 5 business days for processing for either option.
Q. How does a company request a degree verification?
A. These are only done through the National Student Clearinghouse.  The company must contact them at http://www.studentclearinghouse.org/ or call 703-742-4200.  The fax number is 703-742-4239.  E-mail directly to degreeverify@studentclearinghouse.org to put a verification through.

Graduation

Q. I received my degree evaluation.  Can someone go over it with me?
A. We suggest that you take it with you to the department of your major for academic advising. If you have questions on how to read the report, please bring it with you to our office for clarification.
Q. When do I apply for a senior evaluation?  
A. You don't need to apply unless you earned previous UWG quarter hours and also have current semester hours. The application is at the information counter in the Registrar’s Office or you may print it off our website. If you have all semester hours, the Registrar’s Office will complete the evaluation when you apply for graduation. In the meantime, you can run an evaluation on Banweb. Instructions for running an evaluation are posted here and are also available in the Registrar's Office.
Q. What is the date and/or time for graduation?  
A. Check the Graduation page frequently for updated details.
Q. What are the details about graduation (cap and gown, announcements, etc)?
A. Announcements may be purchased through Jostens; more information can be found on their website http://jostens.com/. Caps and gowns may be purchased or rented through the UWG Bookstore.
Q. When and how do I apply for graduation?  
A.  Deadlines are posted in the Scoop. You may apply in the Registrar’s Office or print the form and mail it along with your $30 application fee.
Q. How can I get a replacement diploma?    
A. Replacement diplomas may be obtained by sending in your request and a check for $35.00 for each diploma. Please print the form and mail it in, or you may come to the Registrar's Office to request in person.

Readmission

Q.How do I know if I need to apply for Readmission?         
A. Students who were previously enrolled, but have not been in attendance for three consecutive semesters and students who have been academically suspended for one year or dismissed must apply for readmission with the Registrar’s Office prior to the deadline posted in the Scoop. Students who were dismissed must have approval of the Academic Dean for readmission. Students who have attended another college or university since last attending West Georgia must submit official transcripts from each institution.  Students previously enrolled as transient, Senior Enrichment, Gifted Junior or Advanced Academy must apply through the Office of Admissions. 
Q. When will my application be processed?
A. Readmission applications are processed in the order they are received and by the term the student wishes to return. Please allow at least 15 business days for processing.   
Q. Where do I get a Readmission Application?
A. You may either print the application and mail or fax it to us, or you may come to our office.
Q. How do I change my name?
A. Print off the form; be sure to include the accepted documentation located at the top of the form. You may either mail the form and documentation to the Registrar's Office or drop it off in person.

Registration

Q. When will I be able to register for my classes?
A. Please see the Scoop; it will tell you what days you may start registering based on your hours earned and last two digits of your social security number.
Q. I have a hold and can't register; what do I need to do to clear the hold?
A. Please see the department or office that put the hold on your account.
Q.  I am having trouble registering for classes. What should I do?
A. The Scoop contains a list of error messages you might receive when registering for classes. Check there first to see if you can figure out what is wrong; if you don't see your error, then you may come to the Registrar's Office.
Q. How do I get advised?
A. Students are assigned an advisor by the department of their major. If you are undeclared, please go to the EXCEL center located in the UCC.
Q. How do I pay my fees?
A. Registration is not complete until all fees and charges are paid in full. Fee payment deadlines for registration are listed in the Scoop; if fees and charges are not paid by these deadlines, classes will be dropped from the student's schedule. Please visit the Bursar's Office website as all fee payments are handled through their office.

Q. How do I apply for In-State Residency?
A. Complete the Petition for In-State Tuition application and mail to Donna Haley with supporting documentation.
Q. How do I find out-of-state waivers such as Alabama Border County Waiver?  
A. Refer to the Registrar’s web-site under Tuition Classification.

Transcript

Q. How do I request a transcript on line?
A. Transcripts may be ordered through the National Student Clearinghouse at any time of day, every day.  You may order transcripts though the Clearinghouse using any major credit card; your card will only be charged after your order has been completed.
Q. Can I pick up my transcript? 
A. Yes, you may pick up the transcript in 5 business days following the day requested.
Q. What is the cost of a transcript? 
A. A transcript is free if it is ordered in person in our office.  See Clearinghouse ordering above for information concerning their prices.
Q. Can I get a transcript today and take it with me now? 
A. Yes, it will cost $10 per request and must be requested in person. We accept cash, checks and money orders.
Q Can someone request or pickup a transcript for me? 
A. Yes, but a letter of permission with your signature must be presented, as well as an I.D. from the person.
Q. Can my transcript be faxed? 
A No. Due to confidential nature of transcripts, faxing is not permitted.
Q. How long will it take to process my transcript? 
A. A transcript will be processed in 5 business days in the order in which they are received.  Process time may be longer at times of the year when we have a high volume of requests, such as end of term, holidays or registration.
Q. Can I send a transcript by mail for a rush copy?
A.  Rush copies are made only in person at the Registrar’s Office.  The cost is $10 per request.
Q. If I have holds on my account can I get a transcript? 
A. The student must contact the office or department that placed the hold.  It is the student’s responsibility to take care of this matter.
Q.How many transcripts may I request at one time? 
A. Five

Transfer

Q. What courses will transfer to UWG?
A. Undergraduate transfer course equivalencies may be viewed here.
Q. How will I know how many hours transferred?
A. You can look at the PREP web-site located on the Admissions web page. Students will be able to view not only their transfer evaluation, but other important information regarding their acceptance to UWG.  You will also receive an evaluation in the mail once it is completed and you can check Banweb.
Q. How many hours can I transfer?
A. A maximum of 90 academic hours may be transferred to UWG.
Q. What grade must I make for a course to transfer?
A. Courses accepted for transfer credit must have a “C” average. A grade of “D” in freshman English is not acceptable. No “D” grades will be allowed in courses designated as major courses. A grade of “C” or above is required for all professional courses in education and those courses listed under content field.
Q. At my previous college we were on the quarter system; what does that mean for me now?
A. All quarter hours are converted to semester hours on your evaluation. One quarter hour is the equivalent of 2/3 semester hours. For example, multiply your 5 hour quarter-hour course by 2 and divide the answer by 3. 5 quarter hours equals 3.33 semester hours.
Q. How do I get AP, CLEP or Military Credits?
A. The student can look on the Registrar web-site under Credit by Exam for AP, CLEP and IB.  For military credit, contact Ashley Reece in the Registrar's Office.

Veteran

Q. How do I apply for VA education benefits through the Montgomery GI Bill?

  • Former/current Active Duty service members submit VA Form 22-1990, Application for VA Education Benefits, along with a copy of the DD-214 (also known as Discharge papers for Active Duty Service) or a Letter of Eligibility approving the veteran for benefits
  • Selective Reserve/National Guard members submit appropriate VA form along with a copy of the Notice of Basic Eligibility (known as NOBE) which establishes a date of eligibility for education benefits
  • Members of the Selected Reserve/National Guard who served in the war on terrorism submit appropriate VA form with a copy of the DD-214 (includes dates called to Active Duty) and a copy of orders for Active Duty
  • Dependents of veterans who are eligible for education benefits submit VA Form 22-5490 or an approval letter from VA; dependents transferring from other institutions submit VA Form 22-5495, Request for Change of Program/Place of Training 
  • Mail completed and signed VA forms to the Office of the Registrar, University of West Georgia, Carrollton GA 30118, or submit them in person

Q. When will my enrollment at UWG be certified with VA?  
A. New students – after the drop/add period ends each semester. Continuing students – after pre-registration for a semester.
Q. When may I expect payment from VA?
A. VA takes 10-12 weeks to process all claims, after which you should receive payment (automatic deposit into your bank account is quicker than mail time).
Q. May I call VA to check on my status? 
A. Students with general questions may call toll free (888) 442-4551; VA suggests students call this number to inquire about payment issues. If issue cannot be resolved, the next step is to contact School Certifying Official Delores Moore for additional help. Students with questions concerning confirming enrollment may call toll free (877) 823-2378 or visit the following link from the Registrar’s page for Veterans.
