3.13 Responsibility for compliance with other Commission policies

Comprehensive Standard:

3.13.3 The institution complies with the policies of the Commission on Colleges. (Policy compliance)

Applicable Policy Statement: The institution complies with the policies of the Commission on Colleges. "Complaint Procedures Against the Commission or its Accredited Institutions": each institution is required to have in place student complaint policies and procedures that are reasonable, fairly administered, and publicized. (See FR 4.5). The Commission also requires, in accord with federal regulations, that each institution maintain a record of complaints received by the institution. This record is made available to the Commission upon request. This record will be reviewed and evaluated by the Commission as part of the institution. Statement of Compliance:   In Compliance.

Narrative:

The report for Federal Requirement 4.5 discusses a number of policies related to different types of student complaints that are reasonable, fairly administered, and well-publicized. Given the decentralized nature of the record keeping process at the Division of Student Affairs and Enrollment Services, the report for principle 4.5 provides the document "Retaining Student Complaints" [1] that describes elements of complaint reviews included in the records by each of the departments involved. This document also points out how the data in each department is stored.

It should be noted that to comply with the principle under consideration, the document "Retaining Student Complaints" has been reorganized and updated to reflect the names of the individuals within the Division of Student Affairs and Enrollment Services responsible for the record keeping process [2].

Moreover, an extra step has recently been added to the documentation process of written complaints. Thus, each of the departments that receive student complaints creates a spreadsheet that lists the student's name and ID number, the nature of the complaint, the date received, the stages the complaint went through (the due process), how it was resolved, and the date of resolution.

All records related to student complaints are available to the Commission upon request.
