The Associate Director of Operations shares responsibility for the overall management of University Recreation as they supervise and work closely with professional staff, graduate assistants, and student assistants overseeing the areas of: Facility Operations and Event Management, Marketing and Communications, and Budget. A focus on delivering high quality services via the Campus Center and University Recreation offerings, current and new, and seeking ways to connect them to the UWG students, faculty, staff and outside community is essential. Specific duties include:
Provide oversight and guidance to Assistant Director of Facilities and Events to: Execute reservation, contracts, billing, and follow-up procedures for Ballroom and meeting spaces; Provide management and oversight of event execution in University Ballroom and meeting spaces; Ensure adequate supervision is in place and all user groups are informed of any changes in times and/or availability of the facility or needed space including website, doors, desks, etc. postings; implement and oversee proper facility maintenance and cleaning schedules; Review, update, change and create facility policies and procedures as needed; Assist with student staff evaluations, training and development; Assist in Risk Management for facility and programs.
Provide oversight and guidance to Senior Departmental assistant to: Monitor all Departmental Budget Activities;
Prepare and provide consistent budget progress reports to designated departmental areas;
Ensure timely and correct budgeting processes through efficient recordkeeping;
Forecast future needs and activities, i.e. 5 year plan; execute yearly end of year budget preparation processes.
Provide guidance and oversight to Assistant Director for Marketing and Communications to: Assist with brainstorming and design of marketing plan to raise awareness, increase participation, and promote University Recreation programs, facilities, events, and services; Create and implement marketing and publicity efforts for six program areas including promotional events, print materials, digital signage, social media efforts, and website.
Data generating and reporting: Assess the attendance and usage of the Campus Center and the areas within; Generate routine departmental reports; Evaluate success of facility operations in relation to University Strategic Imperatives.
Professional staff supervision: Ensure all staff work is done to satisfaction and work schedules are adhered to; Evaluate performance and review practices to maximize positions; Change work assignments, hours, responsibilities, etc of professional staff as needed based on what is best for the Department and University; Meet with Professional Staff on a regular basis to stay informed of staff needs; Assist and encourage Professional Staff with their professional growth; Ensure Professional Staff are providing the highest quality of service to those that work with and report to them; Oversee the development of the student staff by way of Professional Staff; Work with professional staff to design and implement a model for student development in areas of oversight.
Additional Duties: Serve as an active member of the Wolf-Wellness Advisory Council, the student wellness council and serve as active member of departmental leadership team consisting of the Director, Associate Director of Programs, and Associate Director of Operations. Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses required by the Director. Serve on additional University-wide councils/ committees when requested; Support the overall success of UREC by completing special projects and performing other duties as assigned.
