FY13 Year End Processing Dates as related to Travel have been UPDATED and are available from the link on the Office of the Controller's website. Note that these preliminary dates are subject to revision as additional information is received from various state agencies. Please continue to monitor the Daily Report for future releases.

5/31/2013 Last day for Prepaid Airfare and Registration for FY14 travel (1ST Qtr Only) to be paid from FY13 funds. IMPORTANT NOTE: All other travel expense with departure date in FY13 and return date in FY14 will be reimbursed with FY14 funding.

6/12/2013 5:00 p.m. Last day for PeopleSoft electronic data entry in the Expense module. Expense reports for reimbursement (including travel) must be electronically approved by all approvers and have a status of valid budget check to be considered eligible for payment against FY13 funds. Expense reports in pending or submitted statuses or those not fully approved at the department and project level will be marked as "denied" and purged from the PeopleSoft System.

6/14/2013 12 pm (Noon) If unable to submit electronic expense report by 6/12/13 deadline for travel with return date on or before 6/30/13, please contact Randy Miller to make special arrangements to encumber FY13 funds with an approved travel authorization. Total travel expense per trip must be greater than $500.00 after prepayments. Approved travel authorizations must be received and date stamped in the Office of the Controller by 6/14/13 12 pm (Noon) deadline for anticipated travel with return date on or before 6/30/13 in order to encumber FY13 funds. Failure to do so will prohibit use of FY13 funds for FY13 travel expenses.

6/17/2013 12 pm (Noon) Printed, signed expense reports for electronic travel submissions through PeopleSoft for 6/12/13 deadline must be received and date stamped in the Office of the Controller. As noted above, electronic expense reports must have been fully approved, have a status of valid budget check, and all supporting documents be in order to utilize FY13 funds.

Please refrain from data entry into PeopleSoft Expenses after 6/12/13 as transactions will be purged from the system and placing FY13 funds at risk. Travel reimbursements for trips encumbered with specifically approved travel authorizations as well as any other travel which was not submitted electronically in the People Soft expense module by the 6/12/13 deadline will be issued in FY14 once open for business. No travel cash advances will be issued for trips with return dates later than 5/31/13. If questions, please contact Randy Miller, Assistant Controller, or at ext 95329.

On Thursday, April 4, writer/actor Curtis Snow will host a screening of his award winning film, Snow on tha Bluff. Snow will introduce the film and make himself available to answer questions afterwards. The screening is at 7:30 pm in TLC 1305, and is free and open the public. It is for mature audiences only.

This screening will be followed by a program of short films from the 37th annual Atlanta Film Festival, one of the Southeast’s premier events in independent film. The program represents some of the best short animation, fiction and documentary from this year’s event. The festival programmers selected around 100 short films from nearly 2000 submissions, and on Friday, April 5, they will be on hand to present this wonderful program, curated in conjunction with the UWG Film Society and Film Studies Program. This screening will be at 7:30 pm at the Carrollton Cultural Arts Center and is free and open to the public.

These programs are sponsored by the University of West Georgia Film Studies Program and Film Society, in collaboration with the Atlanta Film Festival.

Socks, Socks, and more Socks! Please join the Center for Diversity and Inclusion and our co-sponsors: National Pan-Hellenic Council, Pan Hellenic Council, BSA, and SGA, in celebrating Older Americans Month by participating in our annual Sock Drive. Older Americans Month has been celebrated in May since 1963. The 2013 theme is “Unleash the Power of Age!” Did you know that one in every eight or 13.1% of the population (or 40.4 million in 2010) is an Older American (65+) or that 485,000 grandparents, aged 65 or older, had the primary responsibility for their grandchildren who live with them? Or that almost half of older women (47%) age 75+ live alone or that there are an estimated 53,364 centenarians (2010 census) in the United States. Our office will be collecting NEW socks April 1st - April 26th. Please help us reach our goal of 500 NEW pairs of socks! Bring all NEW socks to the Center for Diversity & Inclusion, Room 217 (Row Hall, East Wing) or place them in campus mail. All socks will be donated to local nursing homes in Carroll and Haralson Counties during the month of May. For questions call 678-839-5400. The Center for Diversity and Inclusion is pleased to invite you to the Asian American Pacific Heritage Month Program. Mr. Li Wong, Editor of the Georgia Asian Times and Co-founder of the Atlanta Asian Film Festival, will speak on the topic: “Uniting Asian American Pacific Islanders (AAPI) through Media and Heritage”. The Center for Diversity and Inclusion co-sponsored the Atlanta Asian Film Festival 2010 and 2011. The program is scheduled for Tuesday, April 9, at 7 pm in the Ingram Library, First Floor.
