GETTING STARTED:
The first step is to enter the TUTORIAL to set up your mailbox.
Unless you do this, you cannot receive your messages.
1. Dial
2989 (from your line that has voice
mail)
2. You will hear "ENTER YOUR PASSCODE"
3. At this prompt, simply dial your own 10-digit telephone number.
4. You will receive a greeting and hear
some introductory remarks. You will then be asked to enter your passcode a second time.
At this point you will enter the secret code number your have selected. Make it a number with from 4 to 10 digits that is easy for you, but hard
for others to guess.
The
following menu will be given to you as you go through the process of setting up
your mailbox. (To use, push the keypad
button on your phone set with that letter.):
- U To change user options (to change your greeting, etc.)
- P Passcode (to create or change)
- G Greeting (to create your greeting)
- R Review (to review your greeting)
- X Save (to save your greeting and exit)
- D Discard (as needed)
- N Name (to enter your name)
RETRIEVING MESSAGES -- WITHIN SYSTEM
Once
your mailbox has been set up, users will hear a stuttered dial tone when you
first pick up your receiver on the phone line with voice mail if you have 1 or
more unplayed messages.
When
retrieving your messages within system
from your phone line with the voice mail box, you will dial 2989. The recording
will say, "ENTER YOUR PASSCODE".
You now enter the secret code
you have selected and you will be told how many messages you have. The following menu may be used when
retrieving your messages:
- P Play the current message (play the next message)
- G Give this message to another mailbox
- K Keep this message
- D Discard this message
- M Enter a new message
RETRIEVING MESSAGES -- OUTSIDE SYSTEM
When
retrieving your message off system
from an outside phone, you will
dial 770-838-2989. The recording will say "ENTER A MAILBOX NUMBER". You will then dial your
own 10-digit office telephone number that has a voice mail box. Press
the asterisk key (*) when your greeting starts to play. You will then be asked to "ENTER YOUR PASSCODE". You now
enter the secret code you have selected and you will be told how many
messages you have. The following menu
may be used when retrieving your messages:
- P Play the current message (play the next message)
- G Give this message to another mailbox
- K Keep this message
- D Discard this message
- M Enter a new message
MAKING CHANGES IN THE MAILBOX:
If you
wish to make changes in your mailbox messages, do the following:
1.
Dial 2989 (from your line with voice
mail)
2.
Enter your secret passcode
3.
Remain silent until the menu options
are given:
- M Make a new message
- U Change user options
- X Exit
- O Go to the attendant
4. Select
"U" to change user options.
The following menu will be
given to you:
- G To change your greeting
- N To change your name
- P To change your passcode
- L To change distribution list
- C To change call schedule options
- T To enter tutorial
- X To exit "user options"
HIDDEN PROMPTS WHILE PLAYING MESSAGES:
- 1 Pause
- * Move back 5 seconds
- # Move forward 5 seconds
- T* Move back to top of previous message
- T# Move forward to top of next message
SHORTCUTS:
You can dial
codes before the systems prompts you.
For example:
To change your GREETING(what your callers
hear when they dial your number),
after you enter your passcode, you can immediately dial 847:
- 8 = U - User options
- 4 = G - Greeting
- 7 = R - Record
State your greeting then dial 9 = X - Exit and
if you wish to hear what you have just recorded, dial 845:
- 8 = U - User options
- 4 =G - Greeting
- 5 = L - Listen
- ALWAYS DIAL 9 = X - EXIT
CODES TO SUCCESS:
1 - PASSCODE PROTECTION: If you misdial your passcode, the system
will prompt you to enter your passcode again, and then to insure that you are
the owner, you will be asked to enter your passcode another time.
2 - LOCKOUT: If you have five bad logs(mistakes in your passcode entry) within
24 hours, you will be locked out of your mailbox until passcode has been reset
by the system administrator. If your
passcode is reset, it will revert back to your 10-digit telephone number.
3 - * KEY: When you are away from your telephone you must depress the
asterisk (*) (star) key to access your mailbox as soon as you hear your own
greeting.
4 - EXIT KEY: It is always best to depress the 9(exit) key whenever you have
finished using your mailbox.
5 - KEEPING MESSAGES: Messages are erased after two weeks
automatically. Messages cannot be
retrieved once they are deleted.
VOICE DISTRIBUTION LISTS:
PREPARATION:
1.
Dial
into your mailbox.
2.
Depress
U(8) for User options.
3.
Depress
L(5) for Distribution List.
4. The system will ask you to enter a
distribution list number. Dial a 2-digit
number(01-09). Note: You may create up to nine(9) separate
lists with up to
200
members per list.
5. The system will prompt you to record a
name for your list with the name
command. Depress
N(6) for Name command. Speak into the receiver the
name
you wish to assign this list.
6. The system will prompt you to add a
member. (Depress A(2) for add.)
Dial the 10-digit telephone number for
the person you wish to add.
--You
can only create lists for co-workers that are on the same
telephone exchange you are on.
Continue to dial A(2) and the telephone
numbers for each co-worker until
you
have completed the entire list.
7. Dial
X(9) for Exit when you have finished your list.
SENDING A MESSAGE TO YOUR DISTRIBUTION
LIST MEMBERS:
1. Dial
into your mailbox.
2. The system will ask you to enter the
Mailbox to make a message for.
Dial 01 for List 01. (You may make the
same message for more than one
distribution
list or mailbox.)
3. After
you have entered one or more lists or mailboxes, depress the "#" key.
The system will say record your message.
4.
Depress
the "#" key and the system will prompt your to review, change,
delete,
etc. your message or change other options.
5. Depress
X(9) when finished to exit the system.
