Instructions for Submitting Library
Reserve Lists
1. Your default login and password are the first
part of your email address (e.g., jsmith).
Once you have logged in for the first time,
you should change your password to something
less easily guessed by going to My Account.
2. To create a new course reserve list for an
upcoming semester:
a. click on Course Reserve Pages
b. on the left-hand side of the page
next to the green X, click on
Add Course Reserves Page
c. Using
the drop-down menu, select your department, then enter the course
number, course name,
term and year. All these fields are
required.
d. Next, in the Optional
Section, enter the password of your choice (which
students will
use to access your readings) and at
least the section number(s),
total number of
students allowed into the course and the Visibility Date
Range-- which can either be typed in or
selected by clicking on the little gray
calendars next to each field. When you are finished, be
sure to click on SAVE
at the
bottom, or all your information will be lost!!!!
To "reactivate" materials for a course you are teaching again, all you
need to
do is edit
the Course Reserves Page Settings by changing the visibility dates for the
page, change
the password (REQUIRED) and update the section number & number of students enrolled
in
the
course; all
the readings will reappear on the date you set.
3. To add your readings to the new course
page:
a. If it is not already up, click on
the Page Management tab at the top
of the
screen.
b. Next, click on Documents & Copyright. On the next screen, click on Add
Document on the top lefthand
side of the screen, next to the green X.
c. Choose Add a New Document if you are listing a reading you have not used
before, or Select One or More Existing Documents
if you know that the
reading you want
to add to this course was used by you before and is already
uploaded into
our Docutek system.

Enter title of your choice for document.

Bibliographic Information
Next, enter
a complete bibliographic citation to the reading you are
listing. A complete
bibliographic citation includes author’s full
name inverted (Smith, Fred G.) + full title of the book this
reading
came from OR the title of the journal article + publisher*
(for
books only) + copyright status + call number IF the UWG
Library
owns it + ISBN or ISSN number + journal title**, volume
& issue
number (if applicable) + page range + date published.
►When all
bibliographic information has been entered, be sure to click on SAVE at the
bottom, or your listing for this item will be lost!!!

*publisher’s name: when
you click in the publisher space, a screen will pop up allowing you to search
for the publisher in our database. If
you do not find the publisher already listed, you may leave it blank.
**journal title: if
possible, please determine whether or not we have online access to the article
you are using, because if so, copyright regulations require that we LINK to it, rather than scan the
article and save a copy. To find out
about the online full-text status of any journal, use the Journal Locator (link is on Library homepage). IMPORTANT: when adding the persistent URL for an article link,
DO NOT delete the proxy server prefix which is already in that field: you must ADD
your link at the end of the proxy server link, or else the article will not come up
off-campus!

Adding a whole book which
will be available on Reserve in the Library only
1.
Enter title of your choice
2. Enter full bibliographic citation as above,
except you should leave page
numbers field blank
3. Under Hard Copy Information, click button
labeled “This item may be
checked out from the library.”
4. In the Description block on the top to the right, indicate
the time period for which this item should circulate:
2 hrs. LIBRARY USE ONLY;
4 hrs. LIBRARY USE ONLY; 1 DAY; 3 DAYS; or 7 DAYS.
►When all
information has been entered, be sure to click on SAVE at the bottom, or your
listing for this item will be lost!!!
d3: adding a
document which already exists in the Docutek system
(i.e.,
you have used it in a previous semester)
1.
Click on Select one or more existing
documents
2. Choose
the document you want from the list, or if the list is too
long to scan, search for it by clicking on Show search
options.
3. When you have located the document(s) you
want to use again,
click in the box(es) to the left
of the document(s) and when
finished selecting, click on Save Selections at
the top. This
will automatically add the documents you want AND all
the bibliographic information previously entered for them.
Other things you can
do with your Docutek pages:
1 If you
have access to a scanner or have documents already in digitized form,
you can upload them yourself so that they are immediately
available to
your class —no waiting for the Library to do it ...

2. Add
email addresses of your students so they will automatically be notified
whenever new readings are added.
3 Rearrange the order
of documents so they match what you have on your
Syllabus
4. Access
statistical reports so you can tell whether students are using your
readings or not
5. Add links to Internet resources you want your
students to use or know about
