UWG Library Reserve Policy

 

 

1.  Reserve Lists must be submitted online, using the Library’s Docutek reserves management system (http://westga.docutek.com/eres/).  This should be done at approximately the same time materials will be sent or brought to the Library. 

           If you do not have a Docutek account, you must first contact John

          Kidd--jkidd@westga.edu or 678-839-6502 —in order to have

          an account created).  He can also provide training in the use of the

          Docutek system if needed.

To avoid confusion and to expedite processing, a note indicating the name(s) of the instructor(s) and course number(s) must accompany the actual materials.  If all reserve items are hardcopy items owned by the Library (e.g. books from our collection to be placed on reserve), then a simple email indicating that you have set up a Reserves page in Docutek for your class is all that is required;  email notice to circ@westga.edu with the subject: New Reserve List submitted.

 

2.  Lists should be created at least 6 weeks prior to the beginning of each semester.  As a convenience for instructors, the due date for upcoming semesters will be announced in advance on the ALL-FACULTY and ALL-STAFF listservs. 

 

3.  If lists and materials are submitted by the announced due date*, we guarantee that—if it is possible to acquire them--all your requested materials will be available for student use by the first day of class.   Although we will process lists received after the deadline as quickly as possible, no guarantees are available for lists submitted after the designated date.

*this guarantee also does not apply when items submitted are not suitable for scanning, and have to be returned for re-submission.

 

4.  A full bibliographic citation for each item requested must be provided.  Requests which do not include this information cannot be processed.

 

5.  All photocopies which are submitted for Reserves will be scanned and mounted electronically; therefore, copies submitted must be of high quality so that the scanned result will be readable.  In addition, pages must not be duplexed (we require 1-sided copies to expedite scanning).  Copies which do not meet these specifications will be returned with a note indicating that resubmission will be necessary.   After scanning, your photocopies will be returned to you via Campus Mail.  If you already have a good quality .pdf file of the item(s) you wish to place on Reserve, you may email those items to circ@westga.edu.  When sending files, be sure to include full identification of the item and class so that we can upload the file to the correct course Reserves page.

 

6.  Digital copies may not be made of items which already exist in the market in digital form.[1]  In addition, access to online reserves must be restricted to those currently enrolled in the class, and instructors are required to assist the Library in maintaining this restriction by not providing the Course Reserves page password to anyone who is not enrolled in the specific course for which the reserve materials have been made available electronically.[2]  When setting up your course reserves page, you will create the password for the page and disseminate it to your students; the Library will not be able to provide passwords.

 

7.  Current copyright regulations will be adhered to.  For information about copyright regulations which may apply, please see the following:

8.  Materials which are already designated Library Use Only (such as periodicals and Reference Books) will not be placed on Reserve.

 

9.  There is no limit to the number of items which may be placed on Reserve for any specific class, if, in the professional opinion of the instructor, all the items requested will be utilized in such a manner that leaving them in the Stacks for normal checkout would jeopardize the ability of students to obtain the information needed to successfully complete the course.   

 

10.  Personal copies may be placed on Reserve if the Library does not own what is needed, however it is recommended that faculty not place their own materials at risk unless absolutely necessary.  The Library prefers to purchase for its collection (within the guidelines laid out by the Ingram Library Collection Development Policy*) any materials needed to support the basic instructional mission of the University--however sufficient advance notice must be provided so that we have time to acquire, catalog and process the materials.

11.  The Library’s Collection Policy precludes the purchase of textbooks;   however, instructors may place a personal copy of the course textbook(s) on Reserve if desired.   

 

12.  Re: cross-listed courses.  Reserve materials can be cross-listed.  Be sure, when setting up your Course Reserves page in Docutek, that you add the cross-listings and/or other instructors associated with the class, so that students will be able to locate the materials. 

 

13.  All materials placed on Reserve (including online) will automatically be removed at the end of each semester.  If the same materials will be needed for the next semester, notify the Library staff by email to circ@westga.edu well in advance of the end of the current semester, so that arrangements can be made to extend the availability of the materials for another term. Personal copies removed from Reserve will be returned to you via Campus Mail unless you make other arrangements.
