This is a one-stop page for all third-party individuals who are trying to reserve a space in the Campus Center since the third-party process is different from the process for those on campus. The Campus Center features more than 8,000 square feet of meeting, patio, and ballroom event space to reserve. This includes our newly renovated spacious ballroom, which may be reserved for conferences, proms, banquets, meetings, galas, and other functions that can accommodate almost any event. 

When reserving our space, we want you to have the best experience possible, so we include all furniture and audiovisual equipment that is needed inside of the room in the reservation. This includes our recently updated video walls, microphones/lapels, surround-sound speaker system, rectangle tables, round tables, and many other equipment items.

Reservation Process

Thank you for your interest in reserving space in the Campus Center. Below is a step-by-step process for reserving space in the Campus Center.

  1. Please fill out the Non-UWG Affiliated request form on reserve west. When filling out the form, please be as detailed as possible.
  2. Once you have filled out the form, we will receive the reservation form and an event team member will get back to you in 3-5 business days.
  3. Once an event team member reviews your request, you will receive a confirmation, pending, or a date needs to be changed email of your requested event. 
  4. Invoice: In addition to the reservation email, you will also receive an invoice. You can review the rental/pricing fees document. The price of the space depends on if you are a profit or non-profit organization. If you are a non-profit, you will need to provide your 990 form. Lastly, if your event requires a custodial charge, keep in mind that you are charged per person, for the duration, plus (one hour before your event, and one hour and half after your event)
  5. Facility User Agreement (FUA): In addition to the invoice, you must sign and agree to the Facility User Agreement contract
  6. Liability Insurance Requirements: You must have a $1 million/occurrence (event or general liability), naming the University of West Georgia as “additional insured. Please send a copy of your own insurance to ccevents@westga.edu when your reservation is made. If you do not have insurance already, please use Tulip.
  7. Once the requirements above are completed, a walk-through may need to be done depending on the scope of the event. This meeting is a time to view the space and talk about the logistic options for the event.  
  8. Lastly, once the event has been approved, a confirmation email will be sent.
 

A-Z Guides and Policies

ADA

  • There are a total of 10 handicap-accessible parking spots in the Campus Center lot.
  • The Campus Center currently has one wheelchair that a patron can use.
  • If someone needs to get on stage that has a wheelchair, please inform a Campus Center event staff member at least one day in advance of event.
  • Assistive listening devices are available for use. Please inform a Campus Center event staff member if you are in need of a device before the event starts.

Animals

  • Animals are prohibited in the Campus Center with the exception of service and emotional-support animals for guests who require these services.

Alcohol Policy

  • Alcohol is prohibited inside of the Campus Center unless approved by Dine West.

ATMs

  • An ATM is located next to the UWG Health Center and Tyus Hall on campus.

Cameras

  • The Campus Center has security cameras in the facility that may record a portion or all of an event. These cameras are not immediately monitored and no audio is recorded.

 Compliments/Complaints/Comments

  • If while doing an event, you have feedback or any compliments, complaints, or comments you would like our staff to know, please inform one of the Campus Center event staff members on shift during the event. If you have additional questions, please email ccevents@westga.edu or wait for the survey that is sent out after the event.

Elevators 

  • An elevator that takes people from the first floor to the second floor and vice versa is located next to the administrative desk and climbing wall.
  • An elevator that takes people from the second floor to the third floor and vice versa is located next to the group fitness studios and fitness floor.

Emergencies

  • If an emergency arises, please notify the nearest event staff member immediately.
  • Guests are encouraged to report any issues and concerns to a nearby event staff member.
  • In the event of a serious emergency at the Campus Center, all event supervisors and facility staff members are ready and available to assist guests, including guests with disabilities. Pertinent information regarding the emergency situation and evacuation procedures will be provided by the staff members.

Evacuation plan

  • In the event that an evacuation of the building occurs at the Campus Center, the event and facility staff members will assist all guests out of the building. Pertinent information regarding the emergency and evacuation procedures will be provided by the staff members.

First Aid

  • If you need assistance, please contact an event staff member as soon as possible. 

Internet/WiFi

  • Connect your PC, tablet, or smart phone to WiFi network "WelcomeWest" using the instructions provided by your device manufacturer. Once connected, your device will automatically launch your preferred internet browser and open the web authentication site. If it does not open automatically, then navigate to https://webauth.westga.edu/ and open your preferred browser. You will be redirected to the WelcomeWest portal.
  • Click or tap the "I'm a guest" button.
  • Enter your name, email address, and cell phone number to generate a wireless access key.
  • Click or tap the "Get Key" button. Your access key will be generated and sent to the email address and cell phone number provided. Standard data and messaging rates may apply. For security purposes, the access key will be sent as a text message (SMS) to the cell phone number provided. We require you to provide a valid United States cell phone number that is capable of receiving text messages.
  • Connect your PC, tablet, or smart phone to WiFi network "SecureWest" using the instructions provided by your device manufacturer.
  • Enter the access key sent to your email and phone.
  • You should now have network access until the expiration time listed in the email and text you received.
  • Contact the ITS Service Desk at (678) 839-6587 if you have any questions.

Lost and Found 

  • If you lose anything inside of the Campus Center, please visit the welcome desk, which is located on the second floor of the Campus Center by the swipe-in gates.

Lost Person

  • If a person is lost, please alert a Campus Center Staff member immediately and provide a very detailed description of the individual that is lost. 

Payment

  • Please pay upon receipt.
  • Make all checks payable to "University Recreation".
  • When the check is complete, please turn the check into the Campus Center.

Prohibited items

  • Helium balloons
  • Glitter
  • Fog machines
  • Open flames and/or candles. 

Restrooms

  • There are restrooms that are located on the first floor of the Campus Center to the left of the ballroom.

Smoking 

  • The use of tobacco in any form inside the Campus Center or any building on campus is strictly prohibited.

Water Fountains 

  • There are two water fountains located on the first floor of the Campus Center to the left of the ballroom.

Food/Catering

Dine West is the preferred caterer on campus at the University of West Georgia. If you are interested in using Dine West, please view their menu and policies. If you do not want to use Dine West, you will have to first get approval from Dine West.
